This guide walks you through creating a new load, adding shipment details, and booking it so your team can manage the shipment from start to finish.
Step 1: Go to Loads
From your Dispatchable dashboard, open the Loads section from the main menu.
Click Create Load or New Load to start a new shipment.
Step 2: Add Customer Information
Enter the customer details for the person or company shipping the vehicle.
Common customer fields include:
- Customer name
- Email address
- Phone number
- Billing or contact information
Make sure the customer’s email and phone number are correct, especially if you plan to send updates, documents, or payment links.
Step 3: Add Pickup Information
Enter the pickup location details.
You may need to add:
- Pickup company or contact name
- Pickup address
- City, state, and ZIP code
- Contact phone number
- Pickup instructions
- Available pickup date
The more accurate this section is, the easier it will be to assign and manage the carrier.
Step 4: Add Delivery Information
Enter the delivery location details.
You may need to add:
- Delivery company or contact name
- Delivery address
- City, state, and ZIP code
- Contact phone number
- Delivery instructions
- Requested delivery date
Double-check the delivery address before saving the load.
Step 5: Add Vehicle Information
Add the vehicle being shipped.
Typical vehicle details include:
- Year
- Make
- Model
- Vehicle type
- VIN, if available
- Running or non-running status
If you are shipping more than one vehicle, add each vehicle to the load.
Step 6: Add Pricing and Payment Details
Enter the shipment pricing.
This may include:
- Total customer price
- Carrier pay
- Deposit or broker fee
- Payment method
- Payment terms
Make sure the pricing is correct before booking the load.
Step 7: Save the Load
Once the required details are entered, click Save.
The load will now be created in your account and can be viewed from the Loads section.
Step 8: Book the Load
After the load is saved and the required shipment details are complete, update the load status to Booked or click the available Book Load action.
Booking the load confirms that the shipment is now an active order and ready for the next steps, such as assigning a carrier, sending documents, or managing customer updates.
Step 9: Assign a Carrier
Once the load is booked, you can assign a carrier or partner to the shipment.
Before assigning a carrier, make sure the load has:
- Pickup details
- Delivery details
- Vehicle details
- Carrier pay
- Customer pricing
- Order status
If required information is missing, Dispatchable may ask you to complete the load details before assigning the carrier.
Step 10: Manage the Shipment
After the load is booked, you can continue managing it from the load page.
Depending on your setup, you may be able to:
- Send customer updates
- Send booking confirmations
- Generate documents
- Upload attachments
- Track carrier assignment
- Manage pickup and delivery status
- Record payment information

A complete load is easier to dispatch, easier to track, and easier for your team to manage. Before booking, make sure the customer, pickup, delivery, vehicle, and pricing details are accurate.
